This Privacy Policy describes how Rasoi IQ (operated from Jhotwara, Jaipur – 302012, Rajasthan, India) collects, uses, discloses, and safeguards your information when you visit rasoiiq.com, use our mobile or web applications, or contact us. By using the service, you consent to the practices described here.

1. Who we are

Rasoi IQ ("we", "us", "our") is a Software-as-a-Service platform built for Indian restaurants and cloud kitchens, providing point-of-sale, KOT/KDS, inventory, billing, accounting and customer management tools. The Data Fiduciary under India's Digital Personal Data Protection Act, 2023 is Rasoi IQ.

2. Information we collect

Information you provide

  • Account details: name, email, mobile number, password, restaurant name, GSTIN, address.
  • Operational data you create inside the app: menus, recipes, inventory, orders, customers, invoices, staff, accounting entries.
  • Billing details when you purchase a subscription. Card details are collected and stored only by our PCI-DSS compliant payment partner — we never see or store full card numbers, CVV or PIN.
  • Communications you send us by email, phone, WhatsApp or the support form.

Information collected automatically

  • Device, browser, OS, IP address, time-zone, approximate location derived from IP.
  • Usage analytics: pages visited, features used, in-app actions, crash logs.
  • Cookies and similar technologies (see Section 7).

3. How we use your information

  • To create your account, deliver the service and operate your restaurant features.
  • To process subscription payments, issue tax invoices and prevent fraud.
  • To send transactional emails/SMS (receipts, password resets, alerts) and, with consent, occasional product updates.
  • To provide customer support and respond to your requests.
  • To monitor, debug, secure and improve the service.
  • To comply with Indian law, including GST, e-invoice, taxation and lawful requests from authorities.

4. Legal basis

We process personal data based on (a) the contract between you and Rasoi IQ, (b) your consent where required, (c) our legitimate interests in running and improving the service, and (d) compliance with applicable Indian laws.

5. Sharing your information

We do not sell your personal data. We share it only with:

  • Hosting and cloud infrastructure providers that store the data on our behalf.
  • Payment gateways (e.g. Razorpay/Stripe/Paddle) strictly to process your subscription payments.
  • Communication providers (email, SMS, WhatsApp) to send transactional messages you request.
  • Analytics and error-monitoring tools to improve reliability.
  • Professional advisors, auditors, and authorities when legally compelled.

All processors are bound by confidentiality and data-protection obligations.

6. Data retention

We retain your account and operational data while your account is active. Upon closure, we keep billing records and statutorily-required data for up to 8 years for tax and audit purposes, after which it is permanently deleted or anonymised. You can request earlier deletion subject to legal retention obligations.

7. Cookies

We use strictly necessary cookies (login session, security), preference cookies (theme, language), and analytics cookies (aggregated usage). You can disable non-essential cookies in your browser; the service may not function correctly without essential cookies.

8. Data security

We use TLS 1.2+ encryption in transit, encryption at rest, role-based access control, regular backups, and least-privilege practices. No system is 100% secure; we will notify affected users and the relevant authority of a confirmed breach as required by law.

9. Your rights

Subject to applicable Indian law, you may:

  • Access and obtain a copy of the personal data we hold about you.
  • Correct or update inaccurate or incomplete data.
  • Request deletion (right to erasure) where retention is not legally required.
  • Withdraw consent at any time, without affecting prior lawful processing.
  • Lodge a grievance with our Grievance Officer (Section 12).

10. Children

Rasoi IQ is not directed to individuals under 18. We do not knowingly collect data from minors. If you believe a minor has provided data, please contact us so we can delete it.

11. International transfers

Our servers are located in India. If we ever transfer data outside India, we will do so only to jurisdictions that provide adequate protection or under appropriate safeguards required by law.
